General Policies

Updated: Februrary 17, 2026

Thank you for choosing MedUltra Learning for your training needs! Before finalizing your registration, please review each of our policies thoroughly and agree to the outlined terms below. Please note that MedUltra is a small, locally-owned business, and as such, these policies are implemented for the protection of our instructors, students, & staff.

Cancelation & Rescheduling >48 Hours Prior to the Start of the Course

By accessing or using our website, scheduling a course, or purchasing products, you agree to be bound by these Terms of Use. If you do not agree, please do not use our services.

Refunds

Refunds for cancelations will be issued on the next open business day (M-F, 8am-5pm) or within 2-3 business days (in the event we are closed or offsite teaching). Cancelations do not trigger immediate refund transactions; refunds have to be manually processed by a Team Administrator from within the Office for security purposes. Once the refund is requested from the merchant [Stripe, PayPal, etc.], funds are generally returned within five business days, which is specific to the merchant’s policy.

Cancelation <48 Hours from Start of the Course

Failure to cancel at least 48 hours before the course will result in 100% loss of course cost, meaning the student will neither be refunded any payments (excluding the cost of physical products not received) nor credited any amount towards future registrations.

Rescheduling <48 Hours from Start of the Course

If the student notifies MedUltra within 48 hours of the course (but no later than 2 hours before the course start time) that they need to reschedule their appointment, and they are not determined a “No Show,” then they will qualify to receive a partial credit of 50% (of the original course cost) towards the next class, provided they reschedule within 30 days of the initial course date that they were registered for. The student is responsible for the remaining 50% to complete the rescheduled registration. If the student reschedules for a second time (regardless of whether the second reschedule request is submitted before or within 48 hours of the appointment) the student is responsible for the full cost of the class in order to reschedule. After two reschedules, the student will be restricted from registering for classes with our company, and will not be refunded any previous payments made for registration or rescheduling.

If a student decides to reschedule their class within the 48-hour period before the course, they must call 919-998-8490 or email info@medultralearning.com so we can notify the instructor.

Tardiness & “No Show”

Students must arrive 30 minutes before the scheduled class to check in, dispose of food/drinks (excluding capped/lidded water bottles), use the facilities if needed, and take a seat. We attempt to start our classes promptly at the scheduled time out of respect for our students’ time. Students arriving more than five minutes after the scheduled start time (35 minutes late) will not be permitted to join the session as the instructor will already be conducting the class, and the student will be classified as a “No Show” (regardless of whether or not the student contacted us about potential tardiness prior to the start of the class.) “No Show” also applies to any student who does not notify us that they will be canceling or rescheduling their appointment at least 2 hours before the start time of their scheduled class. Additionally, students who do not make it to class on time due to traveling to the incorrect location, and students who cannot join class due to lack of paperwork or improper completion of pre-course work for classes that require it, are considered a “No Show.” A “No Show,” as defined above, to a scheduled session will result in 100% loss of course cost and will require the student to pay in full to reschedule.

Illness

Vaccinated or unvaccinated, if the student is sick (febrile, cough, runny nose, difficulty breathing, nausea, vomiting, diarrhea, etc.), they should reschedule the class via the “Change/Cancel Appointment” link found in the confirmation email. If the student is canceling within 48 hours of the scheduled class due to illness, our cancelation policy does apply. If the student needs to reschedule due to illness within 48 hours of the scheduled class, they will need to call us directly to do so, and our rescheduling policies will apply. If the student is symptomatic upon arrival to class, they will be asked to leave and reschedule, and our rescheduling policies will apply. Contacting us to cancel or reschedule due to illness after the course has started constitutes a “No Show.”

Dress Code

Students should wear loose, comfortable clothing. All courses involve practicing skills that require working on hands and knees, bending, standing, and lifting. If a student has any physical condition that might prevent them from participating in the course, they should inform one of the instructors when they arrive to class. The instructor will work to accommodate the student’s needs within the stated course completion requirements.

Minimum Student Count

Many American Heart Association and American Red Cross courses have a required minimum class size to ensure that there are enough students to perform group skills/activities. Rescheduling a student due to low class count is always a last resort, but last minute registrations to a course are uncommon. Therefore, to ensure we meet all agency requirements, if within 48 hours of the course the class minimum for registrations has not been met, MedUltra will reach out to the student by phone, text, and/or email to reschedule them to a later course. In this event, no rescheduling fees will apply.

Student Seat Transfer

Students are permitted to transfer their seats if done so 48 hours before the scheduled course. In the event this occurs, the student must contact MedUltra CPR directly to transfer the seat. The transfer implies the new student accepts all listed policies that the original registrant agreed to. If a registrant does not request the transfer before 48 hours, or sends the transferring student in their place to the registered appointment without notifying MedUltra, the transferring student will not be allowed to join class and the original student will be deemed a “No Show.”

Emergencies During Class

The student is required to participate in all lessons within the course curriculum. In the event the student experiences a personal emergency during class that prevents them from participating in the training, the student will be required to reschedule the course. Associated reschedule fees will be addressed on a case-by-case basis.

Children & Guests

MedUltra Learning does not provide child care services. Parents are encouraged to find childcare for the duration of class in advance as the Cancelation/Reschedule/Refund and Tardiness/“No Show” policies still apply. MedUltra Learning does not allow children or adult guests to sit in the classroom, or other MedUltra offices, during instructional time in an effort to minimize distractions to other students and our team.

Weather

We never want to cancel on a student, however, as a safety organization, we do not send out instructors during weather emergencies. We also don’t expect our students to put themselves at risk. If there is a weather advisory from the National Weather Service (e.g. Tornado watches, Tornado warnings, Hurricane watches, Hurricane warnings, and Snow Emergencies), we will communicate the schedule changes via phone, email, or text. If it is in the best interest of safety, we will consider cancelation or delayed start while weather emergency warnings are in effect (e.g. black ice with below-freezing temperatures until after 9am.)
